Task 8

Objective

Working with advanced paragraph formats; Bullets, Numbering, Hanging Indents and Columns.

So far we have looked at changing the appearance of your documents by changing the size, style and alignment of text. Many documents use more advanced features of the word processor to distinguish between paragraphs and as such make the document more readable.

  1. A numbered list works in much the same way. Every time you start a new paragraph the number will increase by one.

Hanging indents keep the first like of text aligned to the left hand margin and move the second and subsequent lines in by an amount that you can specify. This is a direct alternative to using bullets.

Columns split the selected text into separate sections on the page. This is very useful for news letters. Columns make you document easy to read quickly, that is why news papers are printed in this format. The idea is that your eye line needs only to follow down the column and not from side to side to see and read all of the text.

Task 8

Copy the file Task 8 start.doc from the G: drive onto your course disk. Open this file in Wordâ . Make the title 18 point bold type and centre justified. Make all of the rest of the text 12 point and fully justified. Add your header and footer as shown in task 5. Save this file as Task 8. Format the document using bullets, numbering, hanging indents and columns. Use File + Page Setup to adjust the left and right margins to make your document fit on a single page. Print each version for your file and save it as Task 8 bullets, Task 8 numbered etc.

Methodology Task 8:-

To copy the file onto your disk inset your disk into the drive and then double click on the My Computer icon on the desktop. Now double click the G drive icon. Locate the file and click it once so the icon turns blue. Now select File + Send To and pick the 3½" Floppy drive. The file will then copy across. You can then open the file in the usual way.

Add the header and footer as you did in task 5. Select the top line and make it bold, 18 point and centred. Now select all of the remaining text and make it 12 point and fully justified. Use File + Save As and save to document to your disk as Task 8.

Next select all of the text except for the title and the Author’s name. Look for these icons in the toolbar:_

With all you text still selected click on the second from the left the Bullet Icon. Your text will now format into bulleted paragraphs. Print this and use File + Save As and save to document to your disk as Task 8 Bulleted. Select all this text once more and click the bullet icon again. Your text will return to normal.

Now, with the text still selected, click the Numbered Icon. Print your document in numbered paragraphs and save it. Now select the text and click the numbered icon again to return the text to it’s original format again.

Select the text again and select
Format + Paragraph to display this panel:-

In the Special: box select Hanging Indent. Notice how the box By: to the right displays 1.27 cm; this is the distance that the second and subsequent lines of each paragraph will be indented with respect to the first line. You can adjust this if you wish or leave it as it is for the moment.

Print this and use File + Save As and save to document to your disk as Task 8 Hanging Indent. Select all this text once more and reverse the process (change Hanging Indent back to None). Your text will return to normal.

Finally, Select your text and use Format + Columns to display this panel:-

Select Two columns and click OK. You may find that your text looks a little strange as some of the spaces have become very large justify the text in the narrow column, if this is the case, select your text and change it to left justified. Print this version and save it as Task 8 Columns.
